The Schedule Coordinator serves as the operational backbone of our clinical department, ensuring that staffing levels are optimized to meet patient care needs. This role requires a unique blend of analytical precision and high-level interpersonal communication. The Schedule Coordinator will be responsible for managing scheduling assignments, navigating daily staffing fluctuations, and maintaining a professional, calm demeanor in a fast-paced medical environment.

 

At this time, US Anesthesia Partners does not hire candidates residing in California, Hawaii, or Alaska.

 

The base pay estimate for this role is $19.95 - $31.92 hourly. The final offer will depend on the skills, experience, and qualifications of the selected candidate. This range is for base pay only and does not include bonuses or other compensation. This position is eligible for a quarterly bonus. Bonuses are not guaranteed and are awarded based on company and individual performance.

Job Highlights

ESSENTIAL DUTIES AND RESPONSIBILITIES: (The ideal candidate must be able to complete all physical requirements of the job with or without a reasonable accommodation)

 

  • Coordinates next day clinical schedules, ensuring all sites of service are covered according to department protocols. Monitors and adjusts schedules as needed to accommodate changes or unexpected events in a timely manner. Possesses the ability to convey complex information clearly to stakeholders and answers queries in a professional manner, to include physicians, care team, and the MSO team.
  • Acts as the point of contact for last-minute call outs and works with local clinical leadership on scheduling conflict matters.
  • Monitors staffing trends and utilizes analytical skills to predict future needs and prevent coverage gaps.
  • Firmly and professionally enforces scheduling policies and contractual obligations to ensure fairness and operational consistency.
  • Acts as the liaison between administration, department heads, and clinical staff to provide transparent updates on scheduling status.
  • Partners with local MSO Operations and clinical leadership on staffing initiatives.
  • Performs other administrative support as needed to ensure efficient and effective scheduling processes.

Qualifications

KNOWLEDGE/SKILLS/ABILITIES (KSAs):

  • High school diploma or equivalent required; associate or bachelor’s degree in business administration or industry-related field preferred.
  • Minimum of 2 years’ experience in a similar role.
  • Prior experience in healthcare or a hospital administration setting preferred.
  • Advanced proficiency in scheduling software (e.g., QGenda or similar platforms).
  • Extensive experience with office software to include MS Word, Excel, and Outlook.
  • Advanced knowledge of confirming and rescheduling appointments, as well as recordkeeping practices.
  • Strong aptitude for problem-solving and the ability to interpret data to make informed staffing decisions.
  • Proven ability to handle frequently stressful situations and maintain professional composure during high-pressure staffing crises.
  • Ability to coordinate meetings and manage a heavy workload independently without constant supervision.
  • Ability to adhere to established policies and procedures despite external pressure.
  • Excellent organizational, interpersonal, and communication skills.
