POSITION SUMMARY:

 

We are seeking a highly organized and detail-oriented Talent Operations & Contractor Coordination Specialist to support our recruitment, onboarding, and operational processes for 1099 clinicians and internal stakeholders. This role plays a critical part in ensuring seamless contractor onboarding, data accuracy, reporting, and cross-functional coordination across recruiting, credentialing, and HR operations.

Job Highlights

KEY RESPONSIBILITIES:

 

1099 Contractor Onboarding & Conversions

  • Initiate and manage new 1099 contractor onboarding processes, including:
    • Distributing contracts, new hire documentation, and onboarding instructions
    • Coordinating communications with credentialing and new hire distribution teams
    • Creating and maintaining system records (e.g., Trio)
    • Initiating background checks and drug screenings as needed
  • Manage 1099 contractor conversions, including contract distribution, system updates, and tracking within internal conversion logs
  • Provide bi-weekly reporting to recruitment leadership on outstanding contracts and onboarding documentation
  • Support contractor renewals as needed

Systems & Operational Support

  • Maintain and update contractor records, including rate changes and status updates
  • Support credentialing audits by providing accurate contractor data and resolving discrepancies
  • Troubleshoot system access issues, including frequent support for time entry and login challenges
  • Participate in invoicing processes on a rotating basis with the team

Integrations & Training

  • Support onboarding for integration-related contractors by executing full onboarding workflows
  • Track onboarding and processing progress using Smartsheet or similar tools
  • Provide status updates during integration calls
  • Facilitate training sessions for contractors on time entry systems

Student Loan & Financial Program Administration

  • Manage monthly invoicing for student loan repayment and tuition programs
  • Maintain reporting files and respond to inquiries related to pre-hire stipends

Subscription & Expense Management

  • Oversee subscription accounts and process related expenses through internal systems (e.g., Workday)

Data Management & Reporting

  • Maintain and organize SharePoint and Teams folders, including access management and periodic audits
  • Administer new hire surveys, track participation, and generate quarterly reports
  • Prepare monthly and quarterly budget reports, including analysis and allocation summaries
  • Assist with monthly reporting workbooks, ensuring data accuracy and proper formatting

Audits & Compliance

  • Conduct regular audits of recruiter data, open positions, and compensation matrices
  • Partner with recruiters and leadership to ensure data accuracy and completion of audit actions
  • Facilitate 1:1 meetings with recruiters to resolve discrepancies and improve data integrity

 

Qualifications

QUALIFICATIONS:

 

  • Bachelor’s degree or equivalent experience in HR, Business Administration, or related field
  • 2+ years of experience in HR operations, recruiting coordination, or workforce management
  • Strong attention to detail with excellent organizational and multitasking skills
  • Experience with HRIS, ATS platforms (e.g., iCIMS), and workforce systems (e.g., Workday, Smartsheet) preferred
  • Advanced proficiency in Microsoft Excel, including reporting and data analysis
  • Excellent communication and cross-functional collaboration skills
  • Ability to manage multiple priorities in a fast-paced environment

PREFERRED SKILLS: 

 

  • Experience supporting 1099 contractor populations
  • Familiarity with onboarding, credentialing, and compliance processes
  • Strong troubleshooting and problem-solving abilities
  • Experience facilitating trainings or leading process improvements
