    This is an entry level position within the Company.  Typical job functions include supporting a group of employees within a department or function, providing administrative and clerical support to assist them with assigned duties.  Typically, incumbents have limited experience, and rely on instructions and pre-established guidelines to perform the functions of the job.  Works under immediate supervision.

     

    This position is responsible for providing administrative support, with strict adherence to confidentiality and oriented to maximizing the effectiveness of the supervisor and department in which they work.

    Responsibilities

    ESSENTIAL DUTIES AND RESPONSIBILITIES (include but not limited to):

    • Provides administrative support to departmental personnel including answering telephones, maintaining personal schedules, coordinating meetings, preparing expense reports and managing consequense.
    • Answer guest phone greet and route guests accordingly.
    • Answer and screen calls for urgency, set priorities, take accurate messages and channel them to the proper individual.
    • Sign for and distribute deliveries, process certified, inter-office and overnight mail.
    • Order and maintain stock of office supplies and kitchen supplies as needed.
    • Schedule, verify and participate as necessary in meetings and appointments including making travel arrangements and accommodations for attendees, preparing conference rooms and arranging meals.
    • Coordinate, confirm and track employees’ travel or lodging arrangements.
    • Ensure that meeting rooms are presentable and beverage refrigerators are stocked for upcoming meetings.
    • May compile reports, proposals and presentation materials.
    • Adhere to all company policies and procedures.
    • Perform other duties as assigned.

    Qualifications

    JOB REQUIREMENTS (Knowledge, Skills and Abilities):
    • Operating knowledge of Microsoft Word, Excel, PowerPoint and Outlook
    • Ability to type 50 words per minute
    • Communicate well with the public

    EDUCATION/TRAINING/EXPERIENCE:
    • High school graduate or equivalent
    • Typically, one to two years of experience as an assistant to a manager
    • Typically, one to two years of experience with phone screening, tracking dates/materials, ability to self-motivate new projects
