    The front desk coordinator collects patient co-pays, payments and balances, greets patients and visitors, answers incoming calls, and schedules patients for office visits and procedures.

    Responsibilities

    1. Makes patient appointments and enters into scheduling software. Maintains schedules as directed.
    2. Enter patient/insurance demographics into the patient accounting system
    3. Reschedules appointments at patient and provider request
    4. Gathers information from patient, referring provider, employer or insurance carrier to complete the necessary verification
    5. Calls insurance carriers or go online to verify all billing information is correct
    6. Obtain pre-certification info, if applicable
    7. Ensure complete information is sent to divisional medical records in a timely fashion for upcoming appointments
    8. Answers questions regarding patient appointments and testing
    9. Answers telephone and checks voice mail messages and returns calls
    10. Call to confirm patient’s appointments as needed
    11. Check patients in and out at front desk.
    12. Collect Co-pays, payments and balances
    13. Schedule patient for their follow up visits appointments
    14. Sort mail
    15. Maintains strict confidentiality.
    16. Talks with providers and management about scheduling issues, offering resolutions to those issues
    17. Shares information about patient needs with other staff
    18. Check incoming faxes
    19. Scan and upload documents in electronic medical records system
    20. Travels to multiple locations as needed
    21. Performs other duties as assigned

     

    Qualifications

    JOB REQUIREMENTS (Knowledge, Skills and Abilities):

    • Knowledge of organization policies, procedures and systems.
    • Knowledge of office management practices, and secretarial procedures.
    • Skill in computer applications including MS Word and MS Excel.
    • Skill in verbal and written communication.
    • Skill in gathering and reporting information.      
    • Ability to work effectively and independently with staff, physicians and external customers.
    • Must have a pleasant disposition and high tolerance level.
    • Ability to work independently with limited supervision.
    • Communicate well with the public
    • Ability to read, write, and speak English

     

    EDUCATION/TRAINING/EXPERIENCE:

    • High School graduate or equivalent
    • Minimum of two years experience in a healthcare office is required.
    • Prefer billing/coding experience in a healthcare organization.
