POSITION SUMMARY:   The Scheduler performs all aspects of Anesthesia scheduling as defined by the specific needs of the division to include but not limited to: Answering all incoming calls from surgeon’s staff, hospitals, surgery centers and patients. Entering data and maintaining multiple databases and utilization of all types of office equipment and software including but not limited to Access, Excel, Word, paging and fax press. May be required to participates in the rotation of “after hours and weekend call” as required by the division.

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES (include but not limited to):

  • Makes the schedule for the next day- data entry on all incoming cases via, email, fax or phone calls, resolves any discrepancies and resolves conflicts by communication with hospitals and surgeon’s office staff.
  • Makes preliminary assignments then sends it to the physician scheduler to either approve or make changes.
  • Makes a preliminary schedule for 2 days in advance.
  • Runs the daily schedule (board runner for the division)
  • Passes the schedule:  communicates with each provider individually according to their slot on the pick order and makes sure that the cases picked are within the preferences and makes sure that no conflicts are created based on the remaining cases.
  • Assists the division manager in making the call rotation for the following month and making sure all the hospitals are notified.
  • Maintain daily/monthly call schedules, meetings and vacation schedules and notes it on daily schedules and distribute accordingly.
  • Takes care of private pay quotes and collections.
  • Maintains the list of surgeon/provider preferences.
  • Makes sure the division has the sufficient staff to cover all surgeries. This includes keeping the call rotation current always with the help of the physician scheduler
  • Updates and publishes the schedule as well as emails / faxes it to the division providers.
  • Notifies the surgeons and hospital staff and answering service of any changes in the call rotation and makes sure the hospitals have the assignments for the surgeries for the next day.
  • Post all cases according to division specifics to include general patient demographics, procedure, diagnosis, location, time of case and estimated time required for completion.
  • Coordinate next day’s schedule with designated physician; coordinate all added, emergency and changes to current day’s schedule with designated physician.
  • Notify all physicians of his/her schedule according to division requirements daily including faxing, web and voice mail; report delinquent notification letters to the appropriate physician.
  • Maintain at least one-year prior scheduling history and support documentation.
  • Ensures timely and accurate filing of future and past request, surgery schedules and past schedules.
  • Provide cross coverage to all divisions as needed.
  • Other duties as assigned by management

JOB REQUIREMENTS (Knowledge, Skills and Abilities):

  • Ability to organize, maintain, and present data
  • Ability to work effectively and independently with staff, physicians, and external customers.
  • Must have a pleasant disposition and high tolerance level to handle high stress situations
  • Ability to work independently and with others to coordinate workflow
  • Excellent telephone etiquette
  • Skill in computer applications including MS Word and MS Excel and basic office equipment
  • Communicate well with the public
  • Ability to read, write, and speak English
  • Excellent verbal and written communication skills, including spelling
  • Knowledgeable of basic medical terminology
  • A minimum of 35-50 wpm keyboarding skill or the ability to attain such

EDUCATION/TRAINING/EXPERIENCE:

  • High School graduate or equivalent required
  • Continuing education credits to include medical terminology preferred
  • Two to three years of scheduling experience in a hospital/surgery center, or high-volume surgery practice. Other Medical practice related experience will be considered.
