Overview

We are actively recruiting a Surgery Scheduler to be based at our Greenwood Village office. The Surgery Scheduler position will be responsible for assigning physicians to surgical cases and other procedures in various hospital and surgery center operating rooms to ensure the delivery of safe, high quality and effective care to our patients.

 

Over 75 practice management experts and operational support staff serve our growing and well-respected anesthesia practice which consists of over 200 anesthesiologists, 45 CRNA’s and 14 CAA’s. Our clinical staff members provide care at 10 hospitals and over 15 surgery centers located throughout the Denver metro area.

In addition, our integration as USAP-Colorado has allowed us to further build out our service delivery model so that as the facilities we serve require more complex and coordinated anesthesia services, we can support them. This will maintain the important relationships in place with surgeons and facilities to ensure clinical consistency and a continued high level of patient care.

 

Our location in the metro area provides an option to work in the suburbs and locate in outlying bedroom communities. Many of our staff who prefer an urban lifestyle have found housing in Denver’s renewal areas where beautiful older homes, town homes, renovated lofts and re-development communities provide easy access to both downtown and the facilities we serve.

Responsibilities

  • Prepare daily, nightly, and weekend assignments in compliance with guidelines and directives issued by the Board of Directors and Scheduling Committee.
  • Participates in the preparation of the quarterly schedule.
  • Communicate with facilities, surgeons, patients and providers to ensure highest quality of care.
  • Able to proficiently navigate the scheduling system, including case entry and reading of the daily schedule.
  • Accurately enter and review surgical cases in the scheduling system from hospital faxes, surgeon office faxes, incoming phone calls, and online submissions.
  • Answer phone calls from patients, facilities, USAP-Colorado providers, and surgeon offices.
  • Must have the ability to communicate well with physicians, patients, surgeons, facilities and surgery scheduling staff.
  • Communicate with AICs throughout the day to facilitate schedule changes to all facilities.
  • Coordinate Call Trades between physicians and update the scheduling system.
  • Coordinate personnel for evening and weekend call coverage.
  • Begin to understand the fundamentals of making a surgery schedule.
  • Independently create daily summaries and AIC sheets.
  • Direct all phone calls to the appropriate departments, including surgery scheduling, pediatric scheduling, pain scheduling, administration, finance and billing.
  • Sort and distribute incoming faxes between all three scheduling departments and the surgery schedulers.
  • File all faxes once entered into scheduling system.
  • Under direction preform call trades and sways for providers.
  • Notify all providers of any patient requests.
  • Communicate with facilities and surgeon office surgery schedulers through email for various changes and requests.
  • Maintain the Daily Manpower log.
  • Participate in the Annual Vacation Lottery.
  • Communicated unique situations which may require administrative action to Scheduling Manager, HR, or CEO.
  • Other tasks as assigned by management.

Qualifications

Education & Experience:

  • High School Diploma required.
  • Prefer Bachelor's degree (B.A. or B.S.) from four-year College or university; or five years related experience and/or training; or equivalent combination of education and experience
  • Knowledge of organizational policies, procedures and systems.
  • Knowledge of medical practices and terminology.
  • Previous Surgery Scheduling experience is preferred, but not required.
  • Proficient in Microsoft Office, including Word, Excel and Outlook.
  • Experience with a multi-line phone system. Ability to handle a large volume of phone and computer work.
  • Ability to read, analyze, and interpret business reports, professional journals, technical procedures, and government regulations.
  • Ability to write reports, business correspondence.
  • Ability to present information and respond to questions from the groups of managers, clients, customers, and the public.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to establish and maintain effective working relationships with others.
  • Must have a flexible schedule with the ability to work shifts varying daily from 6:30 am to 6:30 pm, including overtime when needed.
