Overview

This position is responsible for answering the telephone, greeting patients, scheduling appointments and taking co-pays for the doctor’s office. Prepares, maintains and files medical records on a daily basis.

Responsibilities

  1. Answer telephones, screen calls and refer callers to the appropriate individual. Provides answers to standard inquiries.
  2. Greet patients, maintain patient log and escort patient to exam room.
  3. Call patients to remind and confirm appointments.
  4. Enter corrections to patient information into the computer system.
  5. Processes incoming faxes, distributing to appropriate individual.
  6. Assist with scheduling, insurance verification and pre-certification as needed.
  7. Prepares charts for new patients both on paper and electronically using information received from referring providers.
  8. Gathers missing information from referring provider or any other source to complete the medical record.
  9. Assures that all charts are pulled and schedules printed for the following day’s appointments.
  10. Files charts, correspondence, records, reports and minutes as needed.
  11. Collect charge tickets, review for completeness and match to schedule each day.
  12. Prepare call schedule on a monthly basis for distribution to staff.
  13. Prepare deposits and set out for courier pick up.
  14. Order medical and office supplies as needed. Stock exam rooms.
  15. Maintains strict confidentiality of medical records and information.
  16. Performs other duties as assigned.

Qualifications

  • High School graduate or equivalent.
  • Prior phone experience in a medical setting preferred.
